RUGBY PLASTICS / WEBSITE INFORMATION
Privacy notice
Updated 23 September 2026.
Who is responsible for your information?
This notice concerns the Rugby Plastics website and its enquiry service. Rugby Plastics Ltd is the controller for company enquiries. Contact sales@rugbyplastics.com or write to 12–18 Lewisher Road, Leicester LE4 9LR about your information.
Information we handle
- Names, email addresses, company and contact details supplied in enquiries.
- Project requirements, material and quantity information, uploaded STL/STEP files and component ZIPs, and generated technical summaries.
- Account identifiers used to associate submissions with the person who uploaded them and to restrict access.
- Staff names, roles and photographs supplied for the team page, plus artwork uploaded by administrators.
- Cookie preferences and technical information processed by the hosting and security services, which may include IP addresses, browser information and access logs.
We obtain these details from you, authorised company administrators and the sign-in or hosting services used by this website. Please avoid including unnecessary personal or sensitive information in CAD files or project documents.
Purposes and lawful bases
- Responding to enquiries and assessing projects: steps at your request before entering a contract, where applicable; otherwise our legitimate interest in communicating with business contacts and assessing manufacturing enquiries.
- Operating and securing the website: legitimate interests in preventing misuse, protecting submissions and maintaining the service.
- Publishing staff profiles: our legitimate interest in introducing the people who support our customers.
- Meeting applicable record-keeping obligations: legal obligation where a specific obligation applies.
- Optional tracking: consent. When Google Ads measurement is enabled and you accept it, technical browsing information, advertising identifiers and conversion events are shared with Google to measure advertising effectiveness. Our integration excludes enquiry contents, contact details and design files. You can withdraw consent using Cookie settings. See our cookie policy for details.
Enquiry details are needed to respond and prepare the requested overview. You can instead contact the team by email or telephone. Submitting an enquiry does not subscribe you to marketing.
Who can access information?
Authorised Rugby Plastics staff and service providers supporting hosting, storage, authentication and technical processing may access information as needed to provide the service. Original CAD submissions and reports are restricted to the browser session used to submit them and authorised administrators.
The website runs on Hostinger infrastructure. Enquiries, uploaded designs and generated reports are stored in private server storage. Administrators use a protected sign-in. Enquiry details are also available in our internal sales CRM for responding to requests and managing follow-ups. Where configured, an email service delivers requested reports and an Epicor Kinetic connection allows authorised staff to look up and link customer records. This notice does not replace the separate privacy information of those service providers.
International transfers
Service providers may process data outside the UK. Contact us for details of the processing locations and any applicable transfer safeguards relevant to your enquiry.
How long information is kept
Retention depends on whether an enquiry remains active, whether it becomes a customer project, and any applicable contractual, accounting or dispute requirements. Contact the team to request a review or deletion of an existing submission. Expiry of a browser session does not automatically delete a stored enquiry or its files.
Your cookie preference expires after 180 days, or sooner if the notice version changes or you clear browser storage.
Your rights
Depending on the circumstances, UK data protection law gives you rights to access and correct your information, request deletion or restriction, object to processing and receive certain information in a portable form. Where processing relies on consent, you can withdraw it without affecting earlier lawful processing. These rights are subject to applicable conditions and exemptions.
Contact sales@rugbyplastics.com to exercise your rights. We may need to verify your identity. You may also complain to the Information Commissioner’s Office.
Technical summaries and automated decisions
Generated part summaries support an enquiry and require engineering review. They do not approve a part, determine a binding price or replace a manufacturing assessment. This website does not use them to make solely automated decisions with legal or similarly significant effects about you.
Changes
We will update this notice when the service or processing arrangements change. See the cookie policy for browser storage and preference controls.
